How it works

From reply to CRM update in five steps.

The journey

Five steps. About two minutes of setup.

01

Connect HubSpot in one click

~30 sec

Sign in to HubSpot and approve ReplyCircuit once — no API keys, no developer. If your plan doesn't include sequence control (a Sales Pro or Enterprise seat) or deal access, those actions simply switch off and everything else keeps working.

02

Point your replies at ReplyCircuit

~1 min

Every workspace gets a private processing address. Use it as the reply-to on a campaign, or add a simple forwarding rule so auto-replies land there. No inbox access, no OAuth into your mail provider. Forward everything — ReplyCircuit only answers mail that answers you, so newsletters and adverts land in Other mail instead of your queue.

Every reply is read and understood

Automatic

The reply is sorted into one of eleven types and the useful details are pulled out: return dates, replacement contacts, referred colleagues, objection reasons — and the job title, mobile and phone sitting in the sender's signature. Each read carries a confidence score.

You review the proposed CRM change

Seconds per reply

The queue shows the original reply, what ReplyCircuit thinks it means, and the exact HubSpot change it wants to make. Approve, edit or reject. Bulk-approve a whole reply type when you are confident.

Turn on automation, action by action

One time

Once accuracy is proven, flip individual actions from suggest to automatic. Unsubscribes and bounces usually go first, then out-of-office sequence pausing and deal notes. Everything is written to an audit log with before and after values.

The result

What lands in HubSpot

Every approved reply becomes concrete CRM work — so your reps see exactly what happened and why, without touching a spreadsheet.

  • Contact updates and communication status changes
  • New contacts created and linked to their company
  • Signature details filling blank phone, mobile and title fields
  • Live sequences caught — pause them in one tap
  • Notes and stage changes on the open deal
  • Dated follow-up tasks for your reps
  • A timeline note with the original email — sender, subject, time and message
  • Unsubscribe and bounce flags synced back to the contact record

Every reply read. Every action logged.

Connect HubSpot in two minutes, review every proposed action before anything syncs, and keep your data in your portal. No inbox access required.
