We built this because we kept losing deals to our own inbox

ReplyCircuit came out of running outbound, not out of a product workshop. The pattern was always the same: a campaign goes out, replies come back, and within a week the good ones are buried under auto-responders. Someone says they've left the company. Someone names their replacement. Someone asks to be taken off the list. Someone says April.

None of it reaches the CRM. Not because the team is careless — because filing a reply properly means opening the contact, finding the right property, checking the sequence, logging the note and setting a task, and nobody does that forty times a day. So the database quietly goes stale, sequences keep mailing people who already answered, and the warmest introduction you'll ever get sits unread in a thread from three weeks ago.

We tried the obvious fixes first: filters, shared inboxes, a weekly clean-up hour, a virtual assistant. Each one worked for about a month. The only thing that holds is reading every reply the moment it lands and putting the result in HubSpot the same minute — which is exactly what ReplyCircuit does.

The reply is the most valuable thing outbound produces

Everyone measures sends. The signal is in what comes back: who moved roles, who bounced, who asked to be left alone, who said 'not now, ask me in April'. Almost all of it is thrown away because nobody has time to file it.

Software should ask before it writes

A tool with write access to your CRM has to earn it. That is why every reply type starts in review mode and you promote it to automatic yourself, one type at a time. Trust is built, not assumed.

No inbox access, ever

We could have asked for a mailbox connection. It would have been easier to build and much harder to trust. Forwarding to a private address keeps the boundary obvious: if you didn't send it to us, we never saw it.

Say the true thing, including when it's inconvenient

Our guides tell you when HubSpot can already do something without us, and when no app is permitted to do what you're asking. We would rather lose a sale than win one on a claim that falls apart in week two.

How we work

We're a small, independent team — small enough that when you email us, one of the people who builds the product answers. No call required to get a straight answer, and no sales sequence for asking a question.

We publish what we learn. The field guides are the real playbooks we use — how to handle an out-of-office, a departure, an opt-out, a competitor mention — written so they're useful even if you never buy anything from us.

And we show our work on trust: the security page lists exactly what we can and cannot touch, and the integration page names every HubSpot permission we ask for and why.
